JOB DESCRIPTION

The Office Assistant performs all basic clerical and administrative office tasks for the Sales Department at our office located in Riverdale, NY. He or she makes multiple outbound calls each day, receives messages, covers for the Receptionist in their absence, and provides clerical support to the Sales Managers. In addition, the Office Assistant must possess business analysis skills with an emphasis on statistical analysis. He or She will provide support for computerized record management in creating documents, reports, charts, graphs, and presentations, and provides additional support to the Sales Managers as needed.

Our ideal candidate is a college graduate with at least 1-2 years of experience working in an office environment. He or she must have very strong phone skills, be extremely detail oriented, possess strong administrative, organizational and computer skills, must have proven time management skills, have a pleasant and courteous personality, and have excellent communication skills.
RESPONSIBILITIES

  • Makes multiple outbound calls each day
  • Coordinates questions and issues with the appropriate department personnel
  • Drafts outgoing correspondence (letters, e-mails, memos) and reports (charts, tables, graphs, etc.)
  • Provides clerical support, such as typing, filing, copying, data entry, and record keeping
  • Assists in the preparation of scheduled daily reports
  • Assists with market research
  • Works directly with and provides clerical support to the Sales Managers
  • Supports the Office Manager in various administrative duties
  • Manages inbound communication, such as phone calls and messages, e-mails, and letters
  • Assists with answering the phones when necessary
  • Performs other duties as assigned
QUALIFICATIONS

  • Associates or Bachelors degree minimum is required
  • 1-2 years minimum of experience working in an office environment
  • Strong computer and internet skills, including Microsoft Office suite (Word, Excel, Powerpoint)
  • Must be proficient with statistical analysis
  • Excellent communication, customer service, and problem solving skills, including the ability to maintain composure under stress
  • Highly professional, dependable, and productive with minimal supervision
  • Professional writing skills to compose memos, letters, and other business correspondence observing all rules of grammar, spelling, and punctuation
  • Strong data entry skills
  • Excellent telephone skills
